PRIVACY POLICY
Privateand/or personal informationentrusted to theShiawasseeCounty
Fair Office shall be placed in a secure, locked file when stored, and
held in a locked room when in use by office staff. Computer records will
use encoded Social Security numbers and will at no time be available
to the public. When the information is no longer required for use in
the office, or for use should an audit be ordered, it will be destroyed
(burned) on the premises.
RELEASE FOR AUDIO, VIDEO, WEB-SITE,
FILM AND PHOTOGRAPHS
By entering and/or attending the Shiawassee County Fair all exhibitors
and/or visitors authorize the fair officials to use voice recordings or photo
images taken on the grounds for educational or promotional programs,
in any form or manner, without payment of fees, and release any claims
for violation of rights of privacy and publicity, in perpetuity.
DUTIES OF EXHIBITORS
Barn rules will be posted in all barns (livestock and still exhibits) and
will apply to all exhibitors, including: 4-H, FFA, Independent, Cloverbud
and Open exhibitors. Exhibitors are expected to follow the posted rules
and will be responsible to the Superintendents of that barn if rules are
ignored. Failure to complymay result inwithholdingexhibitor's premiums
or dismissal of the exhibit from the Fair. Exhibitors refusing or failing to
exhibit livestock when so requested by the superintendent in charge
shall be penalized the amount of their premiums at the direction of the
superintendent.
RELEASE OF EXHIBITS
All animals (except horses), tack, decorations, anddisplaysmust remain
in place until 11:00 p.m. the last day of fair. Beef grooming chutes,
sheep grooming stands, goat stands and blow dryers may be loaded
and taken home during morning or evening chore times prior to 9:00
a.m. Saturday of fair. Exhibitorsmust have all animals, tack, decorations
and displays removed by 10:00 a.m. Sunday morning. Horses, along
with tack, decorations and displays MUST remain in place until 6:00
a.m. Sunday morning and be completed by 10:00 a.m.
POULTRY AND RABBITS MUST REMOVE ANIMALS ONLY
FIRST. WHEN ALL ANIMALS ARE GONE, SUPTS. WILL
ANNOUNCETHATDECORATIONSMAYBEREMOVED. WHEN
DECORATIONS ARE GONE, SUPTS. WILL ANNOUNCE ALL
CAGES MAY BE TAKEN DOWN.
Any exhibitor violating the Release of Exhibits Rules will forfeit
their total premiums from the current year's Fair and will be put on
probation. Probation will be decided at the time of the infraction so
as to be relevant to the rule violation. A second violation will result in
the exhibitor being prohibited from exhibiting at the Fair. An exhibitor
helping someone else will also be considered in violation of the rule.
All other exhibits shall be released from 9:00 a.m. - 1:00 p.m.,
Sunday morning.
All exhibitors are asked to help clean the grounds onSundaymorning
at 9:00 am. Please report to the East end of the Main Arena.
Monday evening (August 15) at 6:00 will be a work bee to get ready for
the following weekend's horse show.
ELECTRIC LIGHTS AND POWER
Electric lights and power may be arranged for in any building or for
outside exhibits on the grounds by applying to the Fair office seven (7)
days prior to fair. Such current, labor and material shall be paid for by
the applying exhibitor or party in excess of one 110v outlet.
CHAIN OF COMMAND FOR EXHIBITORS,
VOLUNTEERS AND GUESTS
Do you have a question, concern, observation or maybe a good idea that
you would like to bring to someone's attention? The following is the "chain
of command" that will allow your voice to be heard.
1.
First level for question, concern or discussion is with a club leader.
2.
If not satisfied, second level is the appropriate Barn Superintendent.
3.
If not yet satisfied, the third level is the General Superintendent, either
Livestock (Mike Oliver or Jim Ritter) or Exhibit Building (Darleen
Luchenbill or Darlene Fitzgerald).
4.
If your voice has not been heard to your satisfaction through the
above channels, the Executive Committee of the Board of Directors
will be glad to talk with you. They may choose to direct your question
or concern to the full Board of Directors. Any Director or the Fair's
Office Manager will be glad to schedule an appointment for you.
COMPLAINT AND APPEAL PROCEDURES
Persons having claims against the Association must present said claims
in writing, to the Fair Office by the close of Fair, in order that they may be
examined at the first meeting of the Board of Directors. The procedure is
as follows:
R 285.811.10 Complaints and appeal.
(1) Any exhibitor may file a complaint regarding any of the following:
(a) Conflict of interest of the judge.
(b) Disqualification of an exhibit or exhibitor.
(c) Exhibitor, group leader, or superintendent behavior.
(d) Eligibility of the exhibit.
(2) The
APPEALS PROCESS
is as follows:
(a) In accordance to the annual appropriation act, exhibitors are
allowed to file a written complaint within 10 days after the end of
the fair or exposition.
(b) The fair will define the steps for board review, investigation
and issuing of findings and recommendations for action on the
complaint.
(c) Notify the exhibitor filing the complaint that he or she may make
an appeal to the department (MDA) within 45 days of filing the
initial complaint if theexhibitor isnot satisfiedwith theassociation's
action.
(3) The department shall have 60 days after receipt of any appropriately
filed appeal to investigate the complaint, and shall issue a finding of fact
and notice of department (MDA) action and any recommended actions
for the association. For specific Shiawassee County Fair procedure,
see below.
SHIAWASSEE COUNTY FAIR APPEAL PROCESS:
(1) First complaint to be reviewed by the Department Superintendent.
(2) If not resolved, complaint to be reviewed by the appropriate General
Supt. (Exhibit Bldg. - Darleen Luchenbill and Darlene Fitzgerald;
Livestock Area - Jim Ritter and Mike Oliver).
(3) Ifnotyetresolved,complainttobereviewedbytheExecutiveCommittee.
(4) If necessary, the complaint may be reviewed by the Fair Board at the
first meeting following the Fair (the complainant must call and arrange
to be put on theAgenda for themeeting) or within 10 days, whichever is
first. Ameeting of the Executive Committee will be called, if necessary.
MISCELLANEOUS PROVISIONS

CAMPING RULES AND REGULATIONS ARE AVAILABLE AT THE
FAIR OFFICE UPON REQUEST.

NO BICYCLES, MOTORCYCLES, ROLLERBLADES, OR SKATE
BOARDS PERMITTED ON THE FAIRGROUNDS.

NOANIMALSALLOWEDON THEGROUNDSOTHER THAN THOSE
BEING EXHIBITED.
(Exceptions: A request must be filed with the Fair
Board prior to the opening day of the Fair. All health papers must be
available as required for that species.)

GOLFCARTS,ATVS, ETC.ARENOTALLOWEDONTHEGROUNDS
FAIR WEEK EXCEPT BY SPECIAL PERMISSION.
Applications for
special permission must be made through the Fair Office at least two
weeks before the first day of the Fair. If approved, units must provide
proof of liability and property insurance and display special identification
for Fair week.
